What is Expensafe?
Expensafe is a receipt and expense service from AI Finance Partners Ltd. People photograph a receipt and send it on WhatsApp or by email. Expensafe reads the supplier, date, VAT and total, files it to the right person and project, matches it to the bank statement and keeps the original image with a full audit trail.
Does my team need to install an app?
No. Receipts are sent on WhatsApp or by email, which your team already uses. The ledger opens in a web browser for the people you invite.
Is it auditable?
Yes. Each original image is kept unaltered with a SHA-256 fingerprint, every reading and every change is recorded with a name and a time, and a person approves each receipt. Records are kept for at least six years, as HMRC expects of a company.
Where is our data stored?
Each business has its own separate database. It is stored in Western Europe (the EU) by default, or in the United States, with other regions available on request. The region is chosen when the account is set up.
Can we get our data out?
At any time. Download the ledger to Excel or CSV in your own column order, or download every original image with an index that ties each file to its line.
